Job Description

Job description:

(a) Acts as a receptionist for the court and municipal court judge, responding to citizen inquiries by phone, mail, or in person, and referring calls to proper personnel;

(b) Creates and maintains a series of manual and automated filing systems, including files on court cases and arrest warrants;

(c) Records and posts traffic and penal violations, dispositions and appeals, and bond entries related thereto;

(d) Receives and records court fines and permit and license fees;

(e) Compiles and mails all court related reports under the signature of the judge;

(f) Schedules pretrial hearings;

(g) Acts as Notary Public for the Court and Administration Department;

(h) Specific duties relating to the hearing and disposition of court cases include:
(1) Takes guilty-non guilty pleas;
(2) Prepares packet material for Municipal Court Judge for cases to be heard;
(3) Dockets all citations, jailed persons, and final dispositions;
(4) Confers with police personnel regarding warrants, and notifies police personnel of required court appearance; may notarize warrants and subpoenas;
(5) Confers with attorneys regarding scheduling matters on cases taken to trial;
(6) Notifies defendants, attorneys, bondsmen, and witnesses of trial date and time;
(7) Notifies Defendant concerning “Failure to Appear”, defensive driving courses, or delinquent tickets;
(8) Sets up “Docket Call”, removing cases that are alleviated by plea of guilty or completion of defensive driving course; and
(9) Records court transcripts for appeal to county court;

(i) Assist the Judge on matters referred by him;

(j) Prepares and mails conviction reports to the Department of Public Safety;
(k) Operates computer, typewriter, calculator, copier, postage meter, and other office equipment; and
(l) Performs such other duties as may be assigned .

Job Requirements

Education, training, experience:

Knowledge of Local Government Code, Texas Municipal Clerks Handbook, City ordinances, rules, regulations and guidelines.
Knowledge of Municipal Court proceedings.
Knowledge of Texas traffic and criminal laws.
Knowledge of general office practices.
Knowledge of the Department of Public Works rules and regulations.
Skill in answering the telephone, greeting visitors, and providing information and assistance.
Skill in gathering, analyzing and evaluating complex data.
Skill in understanding relevant details from oral and written information.
Skill in effectively communicating with a variety of employees and members of the general public.


High School graduation or its equivalent with courses in typing and/or bookkeeping preferable, plus at least one year’s progressively responsible experience in the clerical functions of the judicial system;


Any equivalent combination of experience and training which provides the required knowledge, skills and abilities.


Notary Public is required.
