Job description:
The City of Spring Valley Village is seeking a motivated, qualified person to fill the position of Assistant Court Clerk.

The Assistant Court Clerk shall perform all aspects of processing, and maintaining court records, scheduling the court docket and provide administrative assistance and clerical support to the Court Administrator.

Responsibilities shall include processing citations, documenting and filing formal complaints, maintain court dockets, documents from Attorneys and their clients, and all other documents as needed by the court. Further, the incumbent shall be responsible for collection of money, maintaining receipt records, and completing daily financial reports, and etc. The incumbent shall manage the office supply inventory for the court and shall coordinate replenishment with the accounting technician. The incumbent shall provide staff support for the judges, prosecutors, court staff and shall serve in other areas as needed

-JOB DUTIES AND RESPONSIBILITIES-

The following duties are normal for this position. The omission of specific statements or duties does not exclude them from the position if the work is similar in nature or a logical assignment for the position. Other duties may be required and assigned.

-NECESSARY KNOWLEDGE, SKILLS AND ABILITIES-

Knowledge of general office practices, procedures, equipment and standard clerical techniques.

Knowledge of Microsoft Office, including Excel, Word, Outlook, and .

Ability to understand and apply the policies and procedures governing State and City policies.

Ability to work effectively with management, peers, and co-workers as part of a team.

Ability to organize and manage paper and electronic records, office supply inventory, etc.

Ability to communicate effectively with attorneys, customers, and handle customer service needs with courtesy and professionalism.

Ability to provide administrative and clerical support to the Court and the Court Administrator as needed.

-PROCESSING-

Monitor and process citations and correspondence daily.

Receive payments from the public, through the mail and the police department, and process receipts daily, and print finanical reports of funds collected.

Monitor each case through its process, including initial court appearance, return dates, issue warrants when order by the judge, and follow through to closure.

Assist the public at the counter, over the phone, and through electronic venues.

Provide information regarding various court policies, procedures, and City Ordinances.

Prepare and issue subpoenas to witnesses, police officers, and complaintants.

-OTHER DUTIES-

Answer the City telephone to handle incoming calls as needed.

Perform other duties as assigned.

Job Requirements


Education, training, experience:
MINIMUM QUALIFICATIONS:

Minimum of one year municipal clerk experience preferred. Experience involving knowledge of municipal court procedures or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.

Municipal Court Clerk experience strongly preferred.

Good English communication skills. Bilingual in Spanish preferred. Must be bondable.
