Job Description


Job description:
Under direct supervision, provides technical, secretarial and administrative duties for the Engineering division of the Infrastructure Services Department.

Examples of Duties:
1. Performs various administrative and technical support duties for the Engineering division to include conducting research and surveys, assembling information, compiling and analyzing statistical data; preparing various reports; and other special projects as assigned by the Engineering Manager or his designee.
2. Secretarial and general office duties to include typing, serving as receptionist, operating various office equipment to include plans printer, plan scanner, computers, binders, copier, telephone, etc, screening telephone calls and writing messages, reading, proofing, and writing reports as required, arranging, indexing, filing, retrieving letters, maps, plats, plans, memos, reports, charts, statements, and statistical data.
3. Maintains records; files to include work orders, service request notices, notice of violations, property owner data, right of way permits and other permits, contractor listing, plan archiving into Alchemy, FEMA correspondence, etc..
4. Coordinates distribution of Development Review Committee materials to engineering staff by use of Impact.
5. Provides oral and written technical information on routine engineering requirements to developers, contractors, residents, and Town departments.
6. Assists Engineering Staff to schedule, coordinate, and prepare exhibits and documents for public meetings and city council presentations.
7. Responds to public inquiries and inter-department inquiries to department functions, i.e., development, engineering, legal description of lots, properties, project status.
8. Serves as the division's records manager to store, maintain, and retrieve records.
9. Adheres to departmental, personnel, and safety policies and procedures.
10. Assists co-workers and other divisions, as needed
11. Informs supervisor of all work activities.
12. Performs other duties as assigned.

Job Requirements


Education, training, experience:
A High School Diploma or General Equivalency Diploma (GED) is required. Must have a minimum of 2 years municipal or customer service experience as well as strong research skills. A general working knowledge of municipal government is preferred. Must possess a valid Texas Driver's License and driving record must be in compliance with Town policy.

Must have the ability to review, classify, categorize, prioritize, and analyze data. Must have excellent English communicative skills, both oral and written, to include spelling, grammar, and punctuation. Must have strong organizational skills, letter writing, database and spreadsheet management skills. Must have skills in Microsoft Office, Microsoft Excel plan and plat reading, FEMA map and reading, and understanding utilities and easements. Must type 30 net words per minute. May be required to move various boxed documents weighing up to 52 pounds with the use of a dolly for assistance. Requires the ability to utilize a variety of design data and information, including ordinances, design standards, paving, water and sewer manuals and the Town's maps. To perform essential functions of the job, must be able to type; understand and carry out oral and written directives; work well under pressure and stress; handle multiple tasks; prioritize and organize work assignments; and work effectively and efficiently with the general public and coworkers and maintain a pleasant and friendly demeanor at all times.
