Job description:
GENERAL PURPOSE: Under close supervision, processes reports and other legal information and documents for the New Braunfels Police Department (NBPD); enters and retrieves data in automated records management systems; provides information within scope of authority.

PRIMARY DUTIES AND RESPONSIBILITIES:
The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

•Performs basic clerical and administrative duties in accordance with NBPD procedures and City policies, including data entry, record keeping, preparing and processing various documents, and maintaining files.
•Receives, verifies and enters NBPD data into appropriate computer tracking systems.
•Provides information, instructions and assistance to the general public and others having business with NBPD within scope of authority; assists customers with requests, applications, government forms and other documents.
•Prepares and processes reports, documents and forms; reviews documents and data for compliance and accuracy; inputs NBPD reports and updates Uniform Crime Reporting Program database.
•Collects statistical data and compiles data for reports; receives and sends information to and from other agencies; maintains records and files.
•Performs inquiries and criminal history checks through, and enters law enforcement and criminal justice system information into the National Crime Information Center (NCIC), and Texas Law Enforcement Telecommunications System (TLETS), as authorized.
•Enters data for records and reports; processes forms and record files; queries system databases as requested; collects statistical data and compiles data for reports; updates and assures the accuracy of data base.
•Maintains the absolute confidentiality of all records and information.
•Complies with New Braunfels Police Department (NBPD) procedures and state and federal law to assure the safety of public safety personnel and the general public.
•Performs other duties as assigned or required.

Job Requirements


Education, training, experience:
Education and Experience:
High school diploma or GED, AND one year of clerical experience; OR an equivalent combination of education and experience.

Required Licenses or Certifications:
•Must possess a valid Texas Driver’s License, and must be able to obtain technical certificates in TLETS/NCIC within one year.

Required Knowledge of:
•Basic functions, procedures, and policies of the City and Police Department.
•City, county, state and Federal laws, regulations, codes and ordiances.
•Basic laws and regulations governing the release of information from law enforcement agency records.
•Principles of record keeping, case files and records management.
•Uniform Crime Reporting Program procedures.

Required Skill in:
•Reading, analyzing, interpreting, and evaluating Police reports and research findings applying police standards and procedures, City policies, procedures, and guidelines, and applicable State and Federal rules and regulations.
•Handling multiple tasks simultaneously.
•Maintaining accurate records.
•Dealing tactfully and courteously with individuals seeking information about department functions and activities.
•Establishing and maintaining cooperative working relationships with City employees and the general public.
•Public relations and customer service.
•Operating a personal computer utilizing specialized software, and entering information into a computer system with speed and accuracy.

•Effective communication, both verbal and written.

Physical Demands / Work Environment:
•Work is performed in a standard office environment and is subject to sitting, standing, walking, bending, and reaching for extended periods of time; must be able to safely push, pull, lift and carry items weighing up to thirty (30) pounds.
•May be required to work immediately before, during or after an emergency or disaster.
