Job description:
Works under general direction of the Records Supervisor, performs a variety of clerical functions requiring the application of independent judgment and interpretation of policies and regulations. Work involves a high level of responsibility of police clerical work with moderately complex work methods and problems. Maintain police activity reports. Maintain, with relative independence, an overall clerical process or office activity. Maintain criminal history, offense and traffic records. Receive, code, index, and file reports and related records. Maintain statistical records and prepare reports. Type and file forms, letters, memos, arrest and search warrants, witness statements and other related reports. Perform computerized data entry of reports. Analyze complex reports, and organize and prepare regular and special reports. Interpret Federal and State privacy and security guidelines. Handle confidential records concerning juveniles, arrests, and classified police reports. Work with Federal and State Public Information Act, Privacy Act, and retention scheduling and maintenance. Meet and assist persons entering the Police Department. Answer incoming telephone lines except emergency and 911. Complete assignments as directed. Allows for self-availability in order to work all shifts. Performs all other related duties as assigned or as required. Responsible for handling and administering public safety records for the department. Error could cause lack of trust by the public, staff and legal repercussions. Responsible for effective communication with the public, other City Staff, Council, Boards and Committees.

Job Requirements


Education, training, experience:
High school diploma or G.E.D. Any combination of experience and education that provides knowledge in secretarial, communications, and receptionist duties. Ability to work with the public and other employees. Typing test required with minimum typing skills of 35 w.p.m. Knowledge and ability to operate computers. Valid Texas Class C Driver License. Notary Public. Operates personal computer, copy machine, ten-key and telephone. Proficient in the use of Microsoft Word, Excel, and custom Records Management Software.
