Job Description

Job description:
Provides technical and administrative support to the Parks Services Division. Serves as secretary for the Parks, Arts and Library Services (PALS) Board. Performs general secretarial duties for Parks personnel.

Examples of Duties:
1.Attends PALS Board and related meetings preparing and posting agendas, taking and distributing approved minutes, and maintaining Board records.
2. Monitors divisional budgets from the General Fund and the Special Revenue Fund.
3. Prepares and proofs official documents, reports, and correspondence.
4. Provides general secretarial assistance to include filing, sorting and retrieving records; inputting data using various computer equipment and software; photocopying; collating materials; maintaining office supplies; sorting and distributing incoming mail; and providing administrative support assistance to enable staff to effectively, efficiently, and promptly perform their duties.
5. Serves as a receptionist providing excellent customer service by answering telephone calls and emails promptly.
6. Provides excellent internal customer service by coordinating and preparing divisional payroll, paying invoices, creating purchase orders, and processing employee credit card statements in a timely manner.
7. Maintains divisional records in accordance with the Town's official Records Management program.
8. Operates various office equipment including multi-line telephone, computer, printer, and facsimile.
9. Adheres to departmental, personnel, and safety policies and procedures.
10. Assists co-workers and other departments, as needed.
11. Informs supervisor of all work-related activities.
12. Performs other duties as assigned.

Job Requirements

Education, training, experience:
A High School Diploma or General Equivalency Diploma (GED) is required. Must have one year or more of general office work experience. Must have a valid Texas Driver's License and driving record must be in compliance with Town policy.

Must have a general knowledge of modern office practices and procedures. Must have pleasant and professional telephone voice. Bilingual communicative skills are preferred but not required. Must be skilled in the operation of a mainframe terminal and personal computer operations. Must have good typing skills and excellent data entry skills with speed and accuracy. Must type 40 net words per minute. May be required to move various boxed documents weighing up to 52 pounds with the use of a dolly for assistance. To perform essential functions of the job, must be able to type; understand and carry out oral and written directives; work well under pressure and stress; handle multiple tasks; prioritize and organize work assignments; see, read, talk, hear, and write; and maintain a pleasant and professional demeanor at all times. May work evenings and weekends as required.
