JOB TITLE: Clerk - Deputy FLSA: Non-Exempt


OBJECTIVE:

To perform a variety of clerical functions that aid the court in operating more efficiently, and to assist court clerks

ORGANIZATIONAL RELATIONSHIPS:

1. Reports to:Municipal Judge, Court Administrator, and Senior Court Clerk

2. Directs: Does not supervise any employees

3. Other: Has frequent contact with the City Attorney, all Police Department Personnel, and the general public

GENERAL STATEMENT OF DUTIES:

This is a responsible position. Duties include assisting court clerks in performing complex clerical assignments in processing legal instruments; preparing and recording court minutes and other court records and reports for the court; being available for appearance in the courtroom; and other clerical duties necessary for the efficient operation of the court.

ESSENTIAL JOB FUNCTIONS:

•Must adhere to strict confidentiality regarding all aspects of the job.

•Serves as receptionist for the court and Municipal Judge, responding to citizen inquiries by phone, mail, or in person, and referring calls to proper personnel;

•Must communicate effectively and courteously with the public and City Employees;

•Must be able to handle cash transactions; ability to make change out of the cash register and keep cash organized.

•Ability to operate office equipment, including computers;

•Perform a variety of tasks, often changing quickly from one task to another without the loss of efficiency and composure;

•Creates and maintains a series of filing systems including electronic dockets;

•Posts traffic and jail violations, dispositions and appeals, and bond entries;

•Receives, sorts, and distributes mail;

•Will be responsible for attending night court sessions;

•Must arrive at work on time and maintain a regular and reliable level of attendance


•Orders and maintains a supply of all legal forms and office supplies for the department;

•Accurately see, read, comprehend, and record information in a timely manner from reports, correspondence, computer screens, and printouts;

•Compiles and mails all monthly, quarterly, and annual court-related reports;

•Schedules pretrial hearings;

•Must be able to carry, drag, lift, push, or pull up to 20 lbs of boxes/packages.

•Frequently required to work overtime for court trials and arraignments;

•Serves as Notary Public for the court;

•Must comply with rules and policies, including (but not limited to) time, attendance, dress code, and safety rules;

•Must arrive at work on time and maintain a regular and reliable level of attendance;

Specific duties relating to the hearing and disposition of court cases include:

•Prepares packet material for Municipal Judge for cases to be heard;

•Prepares and mails jury summons, escorts jurors to chambers, notifies jurors of cancellation of case, and compiles a list of jurors and payment due them;

•Prepare warrants and subpoenas, confers with police personnel regarding warrants, and notifies police personnel of required court appearance;

•Confers with attorneys on cases taken to trial;

•Notifies defendants, bondsmen, and witnesses of trial date and time;

•Notifies defendant concerning “Failure to Appear”, defensive driving courses, or delinquent tickets;

•Assists judge on matters requested;

•Mails state records of tickets;
