Job description:
The purpose of this position is to manage the changeover operations and event production at the Allen Event Center (AEC). This is accomplished by directing and monitoring change over crew operations, oversight of event communication, ensuring that scheduled maintenance is completed and coordinating work projects with sub-contractors. Other duties may include coordinating inventory, assisting with the budgetary process, providing various forms of administrative service, and interfacing with other City employees and citizens. This position provides direction to other employees.

• Supervises the activities of change over crews by planning weekly and yearly activities, generating and coordinating schedules, preparing work orders, maintaining relationships with contractors, providing feedback to work crews on quality of service and checking on change over progress and building maintenance.

• Coordinates inventory by determining supply and equipment needs, recording information in appropriate systems and making necessary purchases.

• Assist in the budgetary process by participating in the development and administration of the annual budget, participating in the forecast of funding needs for staffing, equipment, materials and supplies, monitoring and approving expenditures and implementing adjustments.

• Provides various forms of administrative service by creating and maintaining documents, maintaining appropriate records, drafting informational memos and providing other general services as required.

• Manages technical aspects for operation of the AEC by recommending and implementing operation policies and procedures for use of building performance spaces and equipment. Develops and coordinates and ongoing program to authorize/approve subcontractors and other non-facility staff in the proper use of facility equipment and systems.

• Meets with clients and assesses technical needs and assigns staff and equipment accordingly.

• Creates and implements preventative maintenance program for building event equipment and rigging system.

• Oversees event planning and execution by researching and implementing contract requirements, problem solving, communicating through email and meetings.

• Oversees communication with various parties and City departments such as venue management, Fire and Police Departments and the Parks and Recreation Department.
