General Purpose:
To maintain the integrity of police department records by ensuring compliance with the Texas Public Information Act, Texas State Library retention schedule and all other applicable federal, state and local statutes, policies and guidelines related to the records management process; receives/directs telephone calls and greets/assists visitors in obtaining the appropriate services, especially in the absence of the Records Clerk and/or Records Technician; performs clerical duties; performs data entry, review and maintenance; conducts searches of departmental records in response to requests for public information; coordinates records management and retention, trains other staff as required; supervises the records unit functions and staff; performs complex interpretation of statutes and legal decisions pertaining to the maintenance and release of departmental records; testifies in court and provides records related to Police Department activities.

Supervision Received:
Works under the immediate supervision of Administrative Services Bureau Captain.

Supervision Exercised:
Supervises the Records Clerk and Records Technician

Education and Experience:

Graduation from high school or GED equivalent with experience in office and/or records management supervision.

Necessary Knowledge, Skills, and Abilities:

Must have the ability to communicate effectively both verbally and in writing.

Must be proficient in the use of computers, able to learn to operate software, databases, and office equipment, and able to assist the IT department with trouble shooting and repairing records management software issues.

Must have adequate reading comprehension and reasoning abilities to interpret statue and other legal documents.

Must have adequate written communication skills and reasoning abilities to draft legal correspondence.

Must have adequate supervision skills.

Must have adequate reasoning abilities to determine the needs of visitors, perform job responsibilities and problem solve.

Must have exceptional customer service skills and a genuine desire to be friendly, courteous, and helpful.

Must exercise a high degree of professionalism with fellow employees and the public.

Must be detail oriented.

Must have valid Texas driver's license.

Must be able to type 40 words per minute.

Must be dependable and flexible with time off requests. Position is in a unit staffed by three people with a minimum staffing requirement of two people.

Must be able to pass a reading and comprehension test.

Must have have prior supervisory experience.
