Job description:
Performs clerical functions of an important phase of city operations requiring considerable discretion and specialized knowledge. Maintains files and records in an efficient and organized manner. Works independently in the absence of specific instructions or supervision. Displays good decision making abilities; writes by hand or computer reports and correspondence; communicates effectively and courteously in person and on telephone in the English language with citizens; files reports; answers telephone and records messages; reads documents, plats, and site plans; maintains databases for licenses and property data.

EXAMPLE OF DUTIES:

Prepares and issues building permits, inspections, weekly, monthly, and annual reports.

Deals with contractors, sub-contractors, their employees, and the general public on a daily basis, and maintains an attitude of cooperation and helpfulness.

Cross trains Operations Secretary and Planning & Development Secretary, and assists those departments as needed.

Receives written and oral customer requests, complaints, and inquiries; analyzes problem areas and follows through with detail recording of normal and abnormal problems.

Maintains databases for processing licenses and permits for business registration, food dealer’s permits, and amplified sound permits.

Takes and distributes Building Official calls as necessary, and follows up on calls and citizen requests.

Prepares correspondence and/or legal documents pertaining to department activities.

Prepares charts and graphs as requested.


Applicants must satisfactorily complete each step in the hiring process to include:
1. Background investigation check
2. Driving history background check
3. Test for controlled substance
4. Physical exam

Job Requirements


Education, training, experience:
Required Education: Degrees, Certificates, and/or Licenses:
High school diploma or GED; Formal computer training preferred; secretarial or business training a plus.

Experience:
Three (3) years clerical experience and one (1) year as a secretary with experience in public contact; experience in operating basic office equipment; computer experience essential.

Any work related experience resulting in acceptable proficiency levels in the above-required knowledge, skills, and abilities is an acceptable substitute for the above specified education and experience requirements.
