Job description:
Position Purpose
Performs a full range of basic and complex administrative functions in the daily assistance of the CVB Director.

Essential Functions
Maintain CVB Director departmental files, records and documents.
Receive and greet the public and answers questions; or refers to others as necessary.
Operates all listed tools and equipment as required.
Independently prepares correspondence and reports using computerized software.
Assists in coordinating schedules and meetings for CVB Director.
Assists in administering general departmental functions and procedures for the CVB Director.
Plans conferences, training sessions and coordinates travel plans and appointments for other staff as assigned.
Attends and serves as secretary for the Convention & Visitors Transition Board, Parks, Recreation & Beautification Committee and the Historical Preservation Committee and all in house staff meetings.
Prepares and distributes agendas, materials, minutes and records of meetings.
Prepares and advertises meeting agendas, bid and other legal notices related to public hearings and meetings for the Convention & Visitors Transition Board, Parks, Recreation & Beautification Committee and the Historical Preservation Committee
Assists with research projects.

Secondary Functions
Serves as receptionist as needed.
Assist with City department interoffice mail run.
Performs other related duties as assigned.

Capital and/or Fiscal Responsibility
Responsible for adhering to all City of South Padre Island Purchasing Policies while performing purchasing tasks.
Maintains a log of office supplies and orders materials when needed.

Job Requirements


Education, training, experience:
Knowledge/Skills/Abilities
Excellent knowledge of modern office practices, letter composition, spelling, grammar and arithmetic.
Knowledge of tourism industry is desirable but not required.
Ability to communicate effectively verbally and in writing.
Ability to type forty (40) words per minute.
Ability to independently compose letters and reports.
Skill in the operation of the listed tools and equipment.
Excellent phone etiquette skills.
Ability to handle stressful situations.
Ability to maintain effective working relations with employees, other departments, officials and the public.
Ability to handle and maintain information of a confidential nature.

Formal Education/Certification/Licenses
Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, accounting or office administration.
Must have a valid State driver’s license with an acceptable driving record.

Prior Experience
Two (2) years of increasingly responsible related experience or any equivalent combination of related education and experience to be determined appropriate by the City.

Language Requirements
Bilingual: Spanish and English is preferred.

Tools and Equipment Used
Personal computer, including word processing and spreadsheet software; calculator; telephone, copy and fax machine.
