JOB SUMMARY: This position has heavy contact with the public. Duties include managing cases, processing cash receipts, administering complaints and supporting department activities, as well as other office and court related duties.

MAJOR DUTIES: The following duties are normal for this position, and the omission of specific statements of the duties does not exclude them from the classification of this job function; other duties may be required and assigned.

• Schedule cases and prepare docket
• Discuss rights and options with defendants by phone and at counter; prepare subpoenas and attachments for witnesses
• Notify defendants and jurors of Court appearances required
• Enter complaints and case data into computers
• Send subpoena copies to officers prior to scheduled appearance
• Complete receipt for all monies received; Furnish receipt to paying party when payment is made; File receipt if paid by mail and Balance receipts by category source and time collected; prepare daily deposits
• Pull cases where defendant failed to appear after signing citation
• Send extension letters; assign case numbers; prepare complaint with probable cause affidavit
• Prepare warrant for service by police department
• Deliver and pick up mail, deposits, supplies and check requests to and from City Hall
• Search files for closed cases or prior violation documentation
• Check juror attendance
• Complete verdict forms
• Performs other related duties as necessary.

REQUIRED KNOWLEDGE AND SKILLS:
• Skill in dealing with the public; must maintain courteous demeanor under stressful conditions.
• Skill in oral and written communication.
• Bookkeeping skills is required
• Skill in the operation of office equipment such as a computer, typewriter, calculator and court recording equipment.
• Drafting letters and designing of forms as necessary.
• Reconcile daily/weekly/monthly receipts by category; calculate violation fines and fees.
• Analyze citations and other legal documents to determine appropriate disposition based on legal standards, procedures and statues.

SUPERVISORY CONTROLS: The Municipal judge assigns work by setting overall objectives and resources available; assisting the employee with unusual situations which do not have clear precedents. Completed work is evaluated only from an overall standpoint in terms of feasibility, compatibility with other work, or effectiveness in meeting expected results.

COMPLEXITY: Receives and processes a variety of court-related documents. Complications arise because the employee must assist the public with questions concerning their process in the court, but must not offer information which could be interpreted as giving legal advice.

SCOPE AND EFFECT: The purpose of this position is to provide clerical administrative and accounting support in the processing of court cases. Successful performance contributes to maintenance of accessible court records and timely attention to the public’s request for service and the disposal of cases. Incorrect information given to the public or through incomplete recordkeeping could result in extensive court problems and lawsuits.

PHYSICAL DEMANDS: Work typically demands intermittent sitting, standing, walking, with frequent lifting of light to heavy objects.

WORK ENVIRONMENT: Work is typically performed in an office, computer room or courtroom.

Education, training, experience:
MINIMUM QUALIFICATIONS:
• High School Diploma or equivalent.
• Court experience preferred; minimum 3 years clerical experience required
• Experience in bookkeeping activities and computer skills.
